Privacy Policy - Ivoclar Vivadent GmbH Recruiting Management

Protecting your personal data during the application process is very important to us. We want you to feel secure when you visit our webpages. In the following sections we would like to inform you about which data we collect during the application process and how this data is processed and used.

1. Contact details of the Data Controller

Ivoclar Vivadent GmbH, Donau-City-Straße 1, 1220 Vienna, Austria („Ivoclar Vivadent GmbH“). is responsible for the collection and processing of your personal data within the application process.

2. Purpose and legal basis of the data processing


We use the personal data submitted by you on the basis of

  • your consent (Art 6 para. 1 a GDPR),
  • our pre-contractual obligations (Art 6 para. 1 b GDPR),
  • a legal obligation (Art 6 para. 1 c GDPR) and
  • special interest (Art 6 para. 1 f GDPR)

exclusively to process your application for the advertised position. Your applicant data will be saved for the specific application procedure.

3. Use / recipient of your personal data

Only persons involved in the application process will be informed of your personal data. If you apply for a job with another company of the Ivoclar Vivadent Group, we will transfer your personal data to the relevant employees of the respective company. Some of the persons involved in the application process may be located in third countries, in which case it may not be possible to guarantee a level of data protection that complies with the GDPR. All employees entrusted with data processing are obligated to maintain the confidentiality of your data. We will not pass on your personal data to third parties unless you have consented to the transfer of data or we are obliged to do so by law and/or official or court orders.

4. Automated data collection and processing by the browser

As with any website, our server automatically and temporarily collects and stores the following information in the server log files, which are transmitted by the browser, unless you have disabled them:

  • IP address of the requesting computer
  • File request of the client
  • the http response code
  • the webpage you use to visit us (referrer URL)
  • the time of the server request
  • Browser type and version
  • the operating system used on the requesting computer

A personal evaluation of the server log files does not take place. These data can never be assigned to specific persons by the provider. A consolidation of these data with other data sources is not carried out.

5. Collection and processing of voluntarily provided data

If you provide us with personal data as part of the application process, this data is classified into the following data types and data categories for collection, processing and/or use:

  • Personal data (first and last name, date of birth, address, graduation)
  • communication data (telephone and mobile numbers, fax number, e-mail address)
  • Data on education (school, vocational training, civil/ military service, studies, doctorate)
  • Data on previous professional career, training and work certificates
  • Information on other qualifications (e.g. language skills, PC skills, voluntary work)
  • Application photo
  • Details of the desired salary

Consent to the processing of your personal data is voluntary and can be revoked with future effect at any time without giving reasons by e-mail to dataprotection.vienna@ivoclarvivadent.com or by post to

In the event that consent is not granted or is revoked, the application already submitted cannot be considered for the advertised position. In the event of revocation, your consented data will be deleted immediately.

6. Collection and processing of publicly available data

Due to our legitimate interest in identifying the people best suited to our company, we collect data in order to check the suitability of people for the position applied for, including, if necessary, personal data from social media platforms used for professional purposes (e.g. LinkedIn, Xing). Furthermore, we check with the help of a processor (Art 28 GDPR) whether persons can be found in the lists of persons suspected of terrorism. This data is made available to our recruiters and any superiors or experts consulted in the company or in our subsidiaries to check the candidate’s suitability for the advertised position. Publicly accessible and professionally relevant data made available on social media platforms used for professional purposes are collected. In particular, information on employment relationships, professional duties, acquired knowledge and experience is obtained. The data collected is deleted at the same time as the other application data, unless you have expressly agreed to a longer storage of your data (e.g. inclusion in the talent pool), in which case all your data is deleted after you leave the talent pool.

7. Consent to data processing within the talent pool

If you decide to participate in our talent pool, you voluntarily agree that we may also use your personal data for other job advertisements within the Ivoclar Vivadent AG group of companies (available at: About Us : Ivoclarvivadent) for the next 18 months. In this case, the entire group of companies will be able to access your personal data for possible job advertisements. You can join the talent pool by agreeing to the invitation of a recruiter or by proactively giving your consent via the "Get in contact" form. In the event of revocation, you will be deleted from the Talent Pool. If you do not wish to be included in the Talent Pool, this does not put you at a disadvantage when applying.

8. Transfer to third parties

Data will only be passed on to authorised third parties if you have given your consent or if you have applied for a position with another company of the Ivoclar Vivadent AG group of companies. In addition, we use the Talent Management Software of Haufe-Umantis AG for technical implementation. Haufe-Umantis AG acts on behalf of and on the instructions of Ivoclar Vivadent AG within the framework of data processing in accordance with Art 28 GDPR. We work together with MIC Datenverarbeitung GmbH for the comparison of the applicant data with the lists of persons suspected of terrorism. MIC Datenverarbeitung GmbH is active within the framework of data processing in accordance with Art 28 GDPR on behalf of and at the instruction of Ivoclar Vivadent AG.

9. Export of data to third countries

Your personal data may be transferred to the following third countries:

  • Canada
  • Japan
  • New Zealand
  • Switzerland

The EU Commission has decided that personal data are protected in the same way in these countries as in the European Union (adequacy decision under Art. 45 GDPR).
Furthermore, your personal data may be transferred to the following countries:

  • Australia
  • Brazil
  • USA
  • China
  • India
  • Mexico
  • Russia
  • Colombia
  • Indonesia
  • Saudi Arabia
  • South Korea
  • Turkey
  • Philippines

There is no adequacy decision under Art 45 GDPR for these third countries. The transfer of data is based on the standard contractual clauses of the EU Commission (Art. 46 para. 2 c GDPR).

If you consent to the transfer of your personal data to one of the third countries, there is a risk that the authorities will gain access to and use your personal data on the basis of mandatory legal provisions without you being able to take effective legal action against these measures.

By agreeing to this Privacy Policy, you consent to the collection and transfer of your personal data to and storage in a third country without an adequate level of data protection. You can change or completely withdraw your consent at any time with effect for the future. Revocation does not affect the legality of the processing that has taken place up to that point. 10. Retention and deletion of data

Your data will be deleted 7 months at the latest after completion of the specific application procedure. This does not apply if legal provisions prevent deletion, if further storage is necessary for the purpose of providing evidence or if you have expressly agreed to longer storage (e.g. inclusion in the talent pool).

11. Use of cookies

As a rule, we do not use cookies on our websites. Only in exceptional cases are so-called ‘session cookies’ used, which store data for technical session control in the memory of your browser. These data are not personal and are deleted at the latest when you close your browser. We would like to point out that you can set your browser to not accept cookies or that you will receive a warning message when cookies are sent.

12. Security

We take all necessary technical and organisational security measures to protect your personal data from loss and misuse. Your data is stored in a secure operating environment that is not accessible to the public. In certain cases, your personal data is encrypted during transmission by Transport Layer Security (TLS). This means that communication between your computer and our servers is carried out using a recognised encryption method.

13. Your rights

In addition to the right of access to information, you also have the following rights regarding your data:

  • Right of correction or deletion,
  • Right to restrict processing,
  • Right to object to the processing,
  • Right to data transferability.

You can also independently edit, correct, completely or partially delete your entered data at any time. In the event of deletion, revocation, restriction of processing or an objection to processing, your data cannot be taken into account in the application process. You also have a right of appeal to the data protection supervisory authority in accordance with Article 77 of the General Data Protection Regulation.
